1. General
Refunds apply only to amounts received by the official congress account for items sold by the secretariat. Bank charges, currency conversion differences, and third-party booking fees may be non-recoverable.
2. Registration refunds
When a cancellation request is accepted under the cancellation policy, refunds are calculated according to the schedule below, based on the date the secretariat receives your written cancellation (email from the address used at registration). Approved refunds are paid to the original payment method where technically possible; otherwise by bank transfer.
Refund schedule — delegate registration fees
- On or before 31 March 2027: eligible registrations qualify for a 75% refund of congress registration fees paid to the secretariat, net of any published administrative or processing fee.
- From 1 April 2027 through 30 June 2027: eligible registrations qualify for a 50% refund of congress registration fees paid to the secretariat, net of any published administrative or processing fee.
- After 30 June 2027: registration fees are non-refundable, except where required by applicable law or at the sole discretion of the organizing committee (for example, documented medical impediment preventing attendance).
- Processing time: typically 20–30 business days after approval, depending on banking cycles.
- Early-bird or promotional rates: remain subject to this schedule unless a stricter window was stated at purchase.
- No-show: no refund for failure to attend without a timely written cancellation.
3. Non-refundable items
Unless required by law, the following are usually non-refundable: processing fees; late registration surcharges; single-day tickets after the published cut-off; optional merchandise shipped; and donations.
4. Double charges & errors
If you believe you were charged incorrectly, contact the secretariat with proof of payment within 14 days of the transaction. Verified duplicate charges will be corrected.
5. Postponement
If the Congress is postponed, your registration may be transferred to the new dates automatically; if you cannot attend, you may be offered a refund or credit according to the notice issued at the time of postponement.
6. Chargebacks
Please contact us before initiating a card chargeback so we can resolve the issue. Chargebacks may delay badge issuance and may incur administrative costs where contractually permitted.
7. Tax documentation
Tax invoices or receipts will be issued as required by applicable regulations. Refund of taxes follows local rules and may appear as a separate line on your statement.
