1. Purpose
This policy explains cancellation rights and administrative fees for congress registration and official optional items sold through the secretariat. Hotel and travel booked independently with third parties follow those suppliers’ rules.
2. Delegate registration cancellation
Cancellations must be requested in writing to isl2027chennai@gmail.com from the email address used at registration, including full name and confirmation number.
- On or before 31 March 2027: cancellation accepted; refund per the refund policy (75% refund of eligible fees, net of published administrative charges).
- From 1 April 2027 through 30 June 2027: cancellation accepted; 50% refund of eligible fees under the refund policy.
- After 30 June 2027: cancellation does not entitle a refund except as required by law or at the secretariat’s discretion (e.g. documented medical impediment).
- No-show: no refund for unattended days or unused registration.
3. Substitutions
Substitutions (replacing one named delegate with another from the same institution) may be allowed without fee until a published deadline, subject to badge reissue and category eligibility. After that deadline, a substitution fee may apply.
4. Accommodation & optional events
Room blocks negotiated with the official hotel follow the contract between you and the hotel or the housing bureau’s terms. Optional social events or tours may have separate cancellation windows printed on the ticket.
5. Abstract withdrawal
Withdrawal of an accepted abstract before the programme is locked may be possible without financial penalty to registration, but late withdrawals can disrupt scheduling; the scientific committee may apply published rules on future submissions.
6. Congress cancellation by organizers
If the entire Congress is cancelled by the organizers, delegates will be informed without undue delay and remedies will follow the refund policy and any supplementary notice.
